Question 1

Which actions require human review or stay out of scope?

Accepted Answer

A person approves every high-stakes action and reviews consequential actions before they proceed. Actions outside the agreed scope are held or blocked. We define other approval boundaries with your team during workflow scoping.

Question 2

Are prompts audited and decisions logged?

Accepted Answer

Prompt audits and decision logs are part of the work. Public materials do not specify an audit cadence or the logs’ fields, access rules, or retention period; those operational details are discussed for the scoped workflow.

Question 3

How do you monitor for unauthorized use?

Accepted Answer

Monitoring for unauthorized use is part of Cogsmith’s trust approach. Public materials do not specify which signals are monitored, how often monitoring is reviewed, or response-time or remediation guarantees. The operational details are discussed for the scoped workflow.

Question 4

What is specified about data handling?

Accepted Answer

Cogsmith does not train foundation models. That statement describes Cogsmith’s own work; it does not establish how any third-party model provider uses or retains data. Public materials do not specify provider data-use terms, retention or deletion, residency, encryption, subprocessors, or contractual healthcare and privacy terms such as a BAA or DPA. Raise requirements during scoping, and do not submit sensitive records through the intake form.

Question 5

How is a pilot scoped?

Accepted Answer

A pilot runs for 90 days and focuses on one workflow. Before work begins, we agree on a measure and starting baseline and define guardrails, including human-review boundaries and what stays outside scope. At the end, we review the measure together and decide what to do next.

Question 6

How is pilot success measured?

Accepted Answer

Progress is measured against a baseline you already track, with an ROI review on day 90. The relevant workflow and metric are part of the scoping conversation, so the review has an agreed point of comparison.

Question 7

What happens if the pilot does not meet its metric?

Accepted Answer

If the metric does not move meaningfully in 90 days, we will tell you, return everything we built, and stop billing. Discuss the specific metric and engagement terms during scoping.

Question 8

Does adapting a workflow to our policies certify compliance?

Accepted Answer

Cogsmith scopes the workflow around your stated policies and review constraints. That is a design approach, not a certification or a guarantee of regulatory compliance. Raise specific requirements during workflow scoping before deciding whether the proposed work is a fit.
